Session Management for Track Owners

Editing Sessions

As a Track Owner, you have oversight of all sessions and the ability to make edits as needed.

 

1. From the Track Owner portal, click on Sessions: ClickTrackOwnerSessions.png
2. From there, scroll, filter, or search for the session you're looking for. When you find it, click on the Session Details button next to it:  ClickSessionDetailsButton.png
3. From the next page, you can make edits to the Session Details as needed. Remember to click the Save button to save your changes: SessionDetails.png

Please note that sessions can be locked by event Admins, which will prevent non-Admin users from editing the session:

Viewing Session Documents

As a Track Owner, you'll need to review your track resources in preparation for the event.

1. From the Track Owner portal, click on Sessions: ClickTrackOwnerSessions.png
2. Scroll, filter, or search for the session you're looking for. When you find it, click on the Session Details button next to it: ClickSessionDetailsButton.png
3. Click on the Manage Documents tab: ClickManageDocumentsTab.png
4. When you find your resource, click on Download to review it: ClickDownloadLink.png

Adding Embedded Video to a Session

1. From the Track Owner portal, click on Sessions: ClickTrackOwnerSessions.png
2. Scroll, filter, or search for the session you're looking for. When you find it, click on the Session Details button next to it: ClickSessionDetailsButton.png
3. Click on the Manage Video tab: ClickManageVideoTab.png

4. From here you can choose your supported Video Provider from the drop-down menu.

In this example, we will select Vimeo as the video partner.

5. Once you have chosen your desired provider, you will be prompted to enter the Video ID into another box below the video type.

You can find your video's ID in the URL of the video. For example, if the URL of the video you want to embed is: "https://vimeo.com/397439878" your id is the number found after the "/". In this case, it would be 397439878.

After you have located your video ID, enter it into the box titled

6.  The last step is to set the visibility of the video. Make sure to choose Visible if you want your video to appear.

7. Once you have done this, hit Save in the upper right corner.

Please note that for YouTube videos the video ID is typically found after the "=" in the URL. For example, if your YouTube URL was "https://www.youtube.com/watch?v=LoxFgOmrNXk", then your video ID would be LoxFgOmrNXk.
